Roles and Responsibilities of
Branch Manager

 

 

Branch: FPA India ------- Branch

Reports to: President/BEC

Assistants: All the Branch Staff working in different units/Projects

The Branch/Project Manager being the Administrative Head is an important bridge between the Volunteers and staff at the Branch and liaison officer between the Branch and the HQs. However the responsibilities all as follows:

     
 

 

 

  Administration
 
 
 

1) To ensure the punctuality and regular attendance of the staff.

2) To appraise the performance of the Branch staff in a timely and fair manner and ensure safekeeping of the filled Appraisal forms

3) To ensure proper housekeeping, safety and security of the FPA India properties.

4) To keep the custody of the duplicate keys.

5) To ensure that the branch assets are in a proper condition including vehicles ensuring control over movement of same through log books and it being used for official purposes only.

6) To ensure that all relevant insurances for the branch are in place e.g. Vehicle insurance, Cash in Transit, Cash in Safe etc.

7) To correspond with the HQs, Government and other networking agencies, as per the guidance of the BEC.

8) To check all incoming mails whether addressed by name or designation, except those marked ‘Personal’ and/or “Confidential”.

9) To sanction staff leave.

10) To ensure proper maintenance of leave/ service /contract records of each employee.

11) To deal with the appropriate authorities on all matters regarding the office and clinic premises.

     
 

 

 

  Governance
 
 
 

12) To ensure all Audits take place smoothly and all statutory requirements by law applicable to the branch are met appropriately, wherever applicable.

13) To ensure timely submission of the documents to various agencies as required.

14) To inform HQs in case of any malpractices or changes in the laid procedures or protocols.

15) To keep the BEC informed/updated about AGM, BGMs, BEC meetings and also sub-committee meetings and to maintain their minutes in separate register.

16) To assist the Hon. Secretary in maintaining the volunteer members register/database with their full name, complete address and the types of membership.

17) To facilitate in maintaining the records of the membership subscription.

18) To ensure timely submission of various periodical reports, highlights of the previous months reports.

19) To implement the policies laid down by BEC, HQs and Government agencies.

20) To network with national & international funding agencies.

     
 

 

 

  Programme
 
 
  21) To supervise and guide the programme staff in the implementation of the SRHR programmes as planned in the APB.

22) To ensure that the Branch programmes are planned as per the Association’s Strategic Plan.

23) To monitor and evaluate the programmes of the Branch.

24) To develop field work, revision of field activities by conducting periodical meetings.

25) To network with the GO/NGOs working the field of SRHR.

26) To help the staff to plan and implement innovative programmes.

27) To prepare Project Proposals to be submitted to the donor agencies and the Government agencies.

28) To help in the implementation of special Projects sanctioned to the Branch.

29) To supervise all the Projects implemented by the Branch.
     
 

 

 

  Finance
 
 
  30) To ensure that the Accounts Officer is maintaining proper books of accounts including basic accounting controls like daily verification of cash in hand, daily entry of cash & bank vouchers, Bank Reconciliation statements, accounting of Receipts / Payments correctly.

31) To supervise and maintain the Assets Records of branch including obsolescence / Sale through auction or otherwise, conducting physical verification of assets annually and reporting variations, if any, to HQs & BEC.

32) To ensure that the expenditure is incurred within the limits of the sanctioned budget.

33) To prepare the Annual Programme and Budget (APB) and Annual Report of the Branch with the help of the Accountant/Statistical Assistant and concerned unit heads, supported by the volunteers.

34) To help in mobilizing resources for the Branch.

  35) To allocate staff responsibilities for efficient and effective implementation of the operational plan / accounting / administrative work.

36) To maintain cordial relation and discipline amongst the staff.

37) To initiate disciplinary action as per the laid down procedure if necessary in consultation with BEC and HQs.

38) To take part in the selection/recruitment of staff members along with the selection committee and report the three short listed candidates to HQs in case of unit heads.
     
 

 

 

     
  Educational Qualification/s:
Master in Social Service, Social work, Management Public Health, Public Administration.

Experience:
5 – 10 years Experience with Management background, HRD and/or experience of working with NGO/GO.
